Getting Started
Where can I create a new user?
In the space under Users you can create a new user.
What options are there for logging into the platform?
We offer various options for logging into the platform. This always depends on the type of event.
- Login with password
- Login with Personal Login Link (PLL)
- Login without password
- Login with event code
These options can be configured specifically for each event, but the most common method is logging in with a personal login link.
I CAN'T ACCESS THE PLATFORM WITH MY PERSONAL LOGIN LINK (PLL).
Personal login links, or PLLs for short, provide password-free access to an event. There are several reasons why the link might not work.
1 The most common error here is the user rights assignment. If you have the administrator role, the link will be blocked and you will receive an error message when you click on it. This is a security feature of the platform.
2 The entire link was not accessed. If only part of the link was accessed, an error message is generated.
3 The event has already ended. Once the event has ended, all PLLs are automatically redirected to a web address. By default, this is: https://www.onevents.at/event-beendet/
If none of these cases apply, please contact support.
How can I remove guests from my event?
In the left menu under Users, you can delete individual users while in the space if delete mode is enabled. This will log the user out of the event.
How do I export the current user data?
In Space, in the left menu under the Users tab, you can use the gear icon to export all current user data using the Export user data function.

There are three main categories: Starter, Business, and Enterprise. Each category can be paid monthly or annually.

How does automatic activation work?
After selection and purchase, the license is activated immediately — you can get started right away.
What do I need to do to find the right license?
If your requirements go beyond the standard plans (e.g., a very large number of participants or individual integrations), contact the sales team for advice.
Can I pay monthly or annually?
Yes. With annual payment you save (e.g. approx. 30 %) compared to monthly billing.
What happens if no license is available?
Thresholds are defined on the page (e.g., number of participants, parallel events). A corresponding free usage model is not explicitly stated without a license; therefore, it is recommended to clarify this individually with the sales team. (Note: The documentation refers to contacting sales for specific licensing requirements.)
Can I upgrade or downgrade?
Yes. The license is flexibly scalable — you can switch to a different category as needed.
What about events running concurrently?
The number of parallel events is limited depending on the plan (e.g., Starter = 2, Business = 5).
How do I resign?
The license is valid until the end of the current term and can be cancelled before the end of the next period. Simply send a short email to support@onevents.at

Can I import existing event data from other tools?
Yes. Participant lists can be imported. Support is available for complex migrations.
Does ONevents comply with GDPR requirements and offer a data processing agreement?
Yes. ONevents complies with the GDPR and offers a data processing agreement. Hosting takes place exclusively in Europe.
What branding options does ONevents offer?
You can use your own colors, logo, and domain. White-label features are available in enterprise plans.
Can I recover accidentally deleted data?
Automatic backups are in place. Recovery is possible for many types of data. Support is available for critical cases. Backups can be restored for a fee.
How long do archived events remain available?
Archived events remain visible in the account. Media, participant data, and content are securely stored. Access can be reactivated at any time.
How can I export event data and who owns the data?
All data belongs to the customer. Exports are possible at any time in XLSX format. Export rights remain in effect even after termination of the contract.
How do I manage team members and roles?
You can invite team members and assign roles such as admin or editor. Permissions can be restricted for each module.
Is there a test environment for events and agencies?
Yes. You can create one event and up to 10 users without a license. Agencies can use sandbox setups for testing. Test data can be completely deleted.
How is the billing done and where can I find my invoices?
Invoices are generated automatically and can be downloaded from your account. Company details can be updated in your account. Sales tax is displayed correctly.
How do cancellation and refunds work?
Licenses renew automatically. You can cancel at any time. Refunds are issued within defined timeframes. After cancellation, access remains active until the end of the current period.
How are updates performed and is there any downtime?
Updates are automatic. There is no planned downtime. New features will be rolled out gradually.
How does ONevents ensure stability and high availability?
The platform is constantly monitored. Load balancing and modern cloud infrastructure ensure high uptime and fast response times.
What limits apply to participants, storage, and parallel events?
The limits depend on the license plan. Each plan defines maximum numbers of participants, parallel events, and upload sizes.
What integrations and interfaces are available?
ONevents offers API, webhooks, and supported integrations with CRM and marketing systems. Single sign-on is available in higher-tier plans.
How can I contact support and how quickly will they respond?
Support is provided via email and tickets. Response time depends on the license plan. Business and Enterprise customers receive priority processing.
What security measures does the platform offer?
The platform uses HTTPS encryption, regular security updates, and role-based access control. Access is logged.
How does ONevents protect my data and where is it stored?
All data is stored in EU data centers. Processing is GDPR-compliant with role-based access rights. Customer data is not shared with third parties.
Technical
Which streaming services can I use to stream to ONevents?
Various streaming providers can be integrated into ONevents. Whether YouTube, Vimeo, Amazon AWS, or Wowza, each streaming service has its advantages and disadvantages, and we treat them all equally. However, we are happy to work with Vimeo.
It is important that the streaming service provides a player.
What is the optimal data rate for a video stream?
The settings depend on various factors, the hardware itself, the internet connection, and of course the resolution in which you want to stream.
If you want to stream in a very high resolution of 1080p, you should select 60 fps. This requires a stable bitrate of 6000 kbit/s (6 Mbps).
If you're streaming with a smartphone, for example, you won't be able to achieve those results. Newer smartphones should be fine with 720p and 30 fps and a bitrate of 3,000 or 4,500 kbps.
To transmit a video stream in Full HD, a data rate of at least 2000 kbit/s should be provided for the upload. The optimal data rate for such a stream is 6 Mbps.
