Check-in without a ticket

This template lets you organize entry quickly and easily – without sending out tickets. Participants register in advance (or are imported by you), and at the entrance they are checked in by name/search or optionally via QR code on the confirmation page. This is ideal for events where no ticket is required, but you still want a clean participant list and a clear overview of attendees.

What this template covers

  • Registration (optional): Short pre-registration form (name, email, company optional)
  • Participant list: All registered users in a central list, filterable and exportable

    • Search by name/email/company (Fallback always available)
    • Optional: QR code on confirmation page/confirmation email (not a ticket PDF)
  • Status & Overview: Live check-in status, number present/not present
  • Communication: Confirmation email without ticket, optionally with event information (location, time, directions)

Here's how to use the template

  1. Create an event and define fields for pre-registration (or import participants)
  2. Customize confirmation email with event information (without ticket)
  3. Prepare check-in device(s) (tablet/mobile phone) and perform a test check-in.
  4. At the event: Find participants → Check in (or scan the QR code from the confirmation page)
  5. After the event: Export the check-in list and send a follow-up message.
